Responsibilities
As Administrative Executive, you play a crucial role in ensuring the smooth functioning of ENGIE facilities team.
•
• Submit daily staff attendance reports to the client, including updates on staff leave status
• Collaborate closely with the client’s administrative team to carry out assigned administrative duties
• Raise Purchase Requisitions (PR) and Billing Advice through the CMMS system
• Handle petty cash claims and related documentation
• Coordinate with Finance and the Site Manager on aging reports and claims follow-up
• Work closely with site engineers, supervisors, and managers to monitor Purchase Order (P.O.) and Quotation (QB) status and maintain updated records in the database
• Provide administrative support to the site team and HR department, including staff pass renewals and training reminders
• Maintain proper filing and documentation of records and reports
• Any other duties as and when assigned
Requirements
• Diploma qualification in any discipline
• Minimum 2 years of relevant administrative experience, preferably in facilities management or healthcare environment
• Good organizational, communication, and problem-solving skills
• Proficient in Microsoft Office applications, especially Excel and Word
• Familiarity with CMMS systems will be an added advantage
• Able to work independently and manage multiple tasks effectively
• Possess a positive attitude, strong teamwork, and good interpersonal skills
• Has a good safety mindset and displays good WSH behavior
