The company is a New Zealand-based immigration consultancy supporting clients with immigration, education, and migration pathways across New Zealand and Australia. The business serves a diverse client base, including Chinese, Vietnamese, and Cambodian communities, and is focused on delivering professional guidance and support throughout the immigration process.
As the business continues to grow, we are seeking an Virtual Administrative & Social Media Assistant to support both client administration and digital engagement activities.
Role Overview
We are seeking a highly organized and proactive Virtual Administrative & Social Media Assistant to provide support across client administration, document preparation, and social media management.
This role will initially be approximately 20+ hours per week, with the intention of increasing hours as the business grows. The role will be split roughly 50% administration and 50% social media support, making it ideal for someone who enjoys both structured administrative work and online community engagement.
The business has a strong preference for candidates based in Vietnam (particularly Northern Vietnam), with Mandarin language capability strongly preferred due to the client base and social media platforms used.
Key Responsibilities
Administrative Support (Primary Focus)
Assist immigration agents with form preparation and documentation
Complete data entry and maintain accurate client records
Organise and manage digital files and supporting documents
Assist with document collection and administrative follow-up
Support internal processes and workflow coordination
Maintain confidentiality and accuracy when handling client information
Social Media Management
Manage and maintain social media accounts across multiple platforms
Schedule and publish content including client success stories, updates, and announcements
Assist with content planning and content calendar management
Monitor messages, comments, and inbound enquiries
Respond to basic enquiries and direct leads to appropriate team members
Help maintain account access, passwords, and platform administration
Community & Client Engagement
Support engagement across Facebook, LinkedIn, and Chinese social media platforms
Assist with growing online visibility and audience engagement
Ensure enquiries are responded to promptly and professionally
Support the promotion of immigration success stories and educational content
Systems & Administration
Maintain organised records and databases
Support document management and workflow processes
Assist with operational and administrative tasks as required
Help improve efficiency across administrative and communication systems

Requirements
Key Requirements
Strong administrative and organisational skills
Excellent attention to detail and accuracy
Experience managing social media accounts for a business or personal brand
Strong written communication skills
Ability to manage multiple tasks and priorities independently
Comfortable working remotely and supporting a distributed team
Language Requirements
Mandarin speaking ability strongly preferred
Vietnamese language skills highly regarded
English communication skills required
Experience communicating with multicultural client groups is advantageous
Desirable
Experience in immigration, education, legal, or professional services industries
Experience using Chinese social media platforms
Experience handling inbound enquiries and customer communications
Familiarity with administrative forms and document processing
Additional Information
